How do I add or remove a payment?

To add or remove a payment log into Reservation Nexus go to Reservations -> Search. Enter the guest's phone number, name or reservation number. Reservations in RED were cancelled. Click on the guest's reservation number highlighted in blue to pull up the guest's reservation information and other details. Or if you already know which dates the guest is staying you can click on the guest's reservation on the 3 month calendar. Calendar

This will pull up the SUMMARY page. From here you can add or remove a payment. To add a payment click on the green Pay Now      button at the bottom of the SUMMARY page. This will pull up the ADD PAYMENT page.

Below is the ADD PAYMENT page. Note here that there are two types of information. The first displays method of payment, amount of payment, date and the person who made the payment as well as approval code and gift certificate number. The second part of information on the ADD PAYMENT page displays the guest's Reservation Information including the guest's contact information, which dates the guest is staying, taxes applied, and the sub-total due minus any automatic deposits you collected at the time the reservation was made.



Add Payment



At the bottom of the ADD PAYMENT page under Details, the amount that is Due: is what the guest has left to pay for their reservation. The amount due should be the same as Amount: $ at the top of the page. Click  Add  when you are finished and then click  Save  on the following page.



To remove/refund a payment

To remove/refund a payment log into Reservation Nexus and go to Reservations -> Search. Enter the guest's phone number, name or reservation number. Reservations in RED were cancelled. Click on the guest's reservation number highlighted in blue to pull up the guest's reservation information and other details. This will pull up the SUMMARY page. Notice on the right hand side of the SUMMARY page are several blue tabs. Click on the blue Payment tab.

This will open the PAYMENT & CARD ON FILE page. Click on the "Remove/Refund Payment" button.



  • Note, if you don't have Auto Pilot, then the "Remove/Refund Payment" button will only remove the payment record but won't refund money to the card. Contact your credit card processor to make a refund.


  • The following page will pull appear:

    Refund Payment



    The REFUND PAYMENT page features the card to refund the amount to and the amount you want refunded. To refund a partial payment change the number in Amount: $ to the amount you want to refund back to the card. Notice on this page that if you just want to remove the payment record but don't want the money refunded to the card, you can check the box "Unusual Scenario: Just remove the payment record but don't refund money to the card".

    Disclaimer: Refunds are not available after 120 days if you are using Authorize.net.

    Click  Refund  to process the refund or click  Cancel  to close the REFUND PAYMENT page and return to the PAYMENT & CARD ON FILE page.

    Step-by-Step



    Add a Payment

    1. Log into Reservation Nexus -> Reservations -> Search -> [Select Guest] OR select the guest reservation from your 3 month calendar. 3 Month Calendar
    2. Click on the green Pay Now   button.
    3. Select form of payment, Amount:, and any other needed payment info.
    4. Add
    5. Save



    Remove a Payment

    1. Log into Reservation Nexus -> Reservations -> Search -> [Select Guest] OR select the guest reservation from your 3 month calendar. 3 Month Calendar
    2. Click on the blue Payment tab.
    3. Remove/Refund

    4. * Note, if you don't have Auto Pilot, then the "Remove/Refund Payment" button will only remove the payment record but won't refund money to the card. Contact your credit card processor to make a refund.

    5. Enter in the amount to refund or click the "Unusual Scenario" box to simply remove the payment record instead of a refund.
    6. Refund
