We are excited to inform you that Reminders and Calendar are ready. Testers are needed before we release it to all Reservation Nexus (ResNexus) users. If you subscribe to Auto Pilot and would like to help beta test these new features, visit Settings -> Staff and select "Beta Tester" for ALL your staff members. Please make sure you do that for all staff members otherwise they will not be about to view the reminders you assign to them, but instead will get an error screen.

REMINDERS

Create reminders for both yourself as well as your staff. Important reminders can be scheduled to be viewed at login. You can assign reminders to individual staff members as well as to specific roles: Front Desk, Housekeeping, Owner, General Manager, etc. After the beta test is over, reminders will be a part of Classic and made available to everyone.

CALENDAR

We are very excited to introduce to Auto Pilot users a calendar that displays detailed reservations at a glance. It makes it easier to see multiple night stays, which reservations are group reservations and when guests are transferring rooms. Your current reminders as well as upcoming retail reminders are displayed at the top for easy viewing.

DAILY FINANCES REPORT

If you have Auto Pilot, you may have noticed a new report called Daily Finances under Accounting. This report has two columns: Purchases and Payments. "Purchases" has a breakdown of rooms, retail, specials and packages, discounts, taxes and deposits received. "Payments" has a breakdown of what payments were received, refunds and deposits applied. This report helps you double check your finances and the totals at the bottom of Purchases and Payments should match. What a great report for making sure everything balances and payments don't slip through the cracks.

EMAIL RECEIPTS

You can now email receipts to guests on the Payment tab. For Auto Pilot users, you can now email individual receipts in group reservations that contain only that guest's reservation portion and payments.

LATE RESERVATION NEXUS SUBSCRIPTION PAYMENTS

We are very excited to have over 500 inns now happily involved with Reservation Nexus (ResNexus). As we continue to grow, we are finding that our Red Carpet Professionals are spending more and more time with payment issues, taking them away from other key responsibilities. To allow them to better serve you, we have enhanced Reservation Nexus (ResNexus) to now automatically notify you if a payment is overdue or if your credit card declines. You will have a short grace period once notified to contact your Red Carpet Professional and make payment before your subscription is automatically placed on hold by the system. We thank you for prompt payments!

OTHER ENHANCEMENTS

  • Rooms can no longer be removed if there are reservations in the future that use that room. To remove that room, all reservations would have to be manually transferred to a different room.
  • In Tools -> Print Wizard, "Receipts By Date" and "Confirmation Letters" are now based off of the guest's arrival date which eliminates duplicates.
  • On Auto Notifications like Map & Direction emails you can now insert the [Details] tag to insert the guest's reservation information.
  • Auto Comp: If the reservation total is changed to $0 the reservation is now marked automatically as a comp and vice versa.
  • ADR and Rev Par reports have options for including discounts as part of the formula.
  • Discounts report can now be sorted by discount type.
  • On Front Desk and Housekeeping, a guest with no estimated arrival does not inherit the preferred estimated arrival time.
  • On group reservations, each guest now has their own arrival and departure time.
  • When guests are booking multiple night stays online, there is now an option under Settings -> Guest Reservations for displaying the average daily rate instead of the total.
  • Modified the credit card payment page on the management side to be more compatible towards credit card swipers that auto fill the credit card fields.
  • Add Room on the management side now records the capacity based on what you select, not from the rate listing.
  • Reservation Notes and Preferences on the reservation summary are now a different color to help them stand out better.
  • Check and gift certificate numbers recorded on "Add Payment" now show up on receipts.
  • On reservation summaries, you are now informed if the guest is a return guest.
  • Option on Front Desk and Housekeeping to hide retail items and notes.
  • We will be creating an Assistant Manager role that has access to select reports and select settings.
  • You can now change the default for the number of guests for phone reservations.

FIXES

  • Fixed a bug that allowed guests to get around minimum nights.
  • Fixed a bug where the report Room Revenue was applying discounts more than once.
  • Fixed an issue where Daily Future Emails would not support 1 month.
  • Fixed a bug where if you left a quote up for a long time and rooms where used for another reservation, you were able to continue making the reservation but the rooms were not added to the reservation. You are now warned that the rooms are no longer available and must select new ones.
  • The discount label in Taxes by Date didn't always label the discount name correctly.
  • Retail only reservations had become broken in the previous release. It is now working again.
  • Outstanding Balances now shows reservations that are retail or discount only reservations.
